Running payroll for a food truck isn’t like running payroll for an office. Your crew clocks in on a tablet at a festival lot, tips come through the card reader, staff count doubles from May to September, and that fairground three hours away might be in another state.

What food truck payroll actually needs

Before comparing providers, check them against the five things that make mobile food payroll different.

1. Tips that flow from your POS

Card tips land in your POS, not your payroll system. If those two don’t talk, someone retypes every server’s tips every pay period — and transcription errors on tips create tax problems. Look for a payroll provider that imports tips directly from the POS you already use.

2. The 2026 tip reporting change on W-2s

The federal “no tax on tips” deduction lets eligible tipped workers deduct qualified tips (up to $25,000) on their own income tax returns. It doesn’t change your payroll tax obligations — you still withhold federal income tax and pay Social Security and Medicare on reported tips.

What does change is reporting. Starting with 2026 W-2s (issued in January 2027), employers must:

  • Report total cash tips in Box 12, code TP
  • Report each tipped employee’s Treasury Tipped Occupation Code in Box 14b
  • Keep voluntary tips separate from service charges and automatic gratuities, which don’t qualify

This is exactly the kind of change your payroll software should handle for you. Before you choose a provider, ask whether it supports the TP code and occupation code fields, and whether it separates tips from service charges at import.

3. Seasonal and event staff

Food trucks hire for summer and festival season and lay off in winter. Two pricing details matter:

  • Billed only for people paid that month. Square Payroll, Patriot and Homebase charge per person paid, so you don’t pay for inactive winter staff. Check how any provider counts “active” employees.
  • Easy rehires. Re-onboarding last summer’s crew should take minutes, not a fresh W-4 data entry marathon.

4. Events across state lines

If you work a fair or festival in a neighboring state, you may owe that state withholding and unemployment tax on wages earned there. Rules vary — some states have nonresident thresholds, others require withholding from day one. If you regularly cross state lines, choose a provider that includes multi-state payroll rather than charging per state:

  • Included: OnPay, Square Payroll, Homebase
  • Extra: Patriot and QuickBooks Payroll ($12/month per additional state); Gusto requires its Plus plan ($80 + $12/person)

5. The FICA tip credit

Food and beverage businesses where tipping is customary can usually claim a federal income tax credit for the employer Social Security and Medicare taxes paid on tips above the federal minimum wage (the Section 45B credit, claimed on Form 8846). Your payroll reports need to show tips cleanly for your accountant to calculate it.

The best payroll software for food trucks, reviewed

Square Payroll — best if you already run Square POS

Price: $35/month + $6 per person paid. Contractor-only payroll: $6 per contractor, no base fee.

Square dominates food truck POS for a reason, and its payroll is the most seamless option if you’re already on it. Timecards from the Square POS feed the pay run, and card tips import automatically.

Why it fits food trucks:

  • Hours and tips flow straight from the register
  • Billed only for people paid that month — ideal for seasonal crews
  • Multi-state payroll included at no extra cost
  • Unlimited payroll runs, including off-cycle checks for event bonuses

Watch out for: HR tools are thin, and the case for Square Payroll weakens a lot if you don’t use Square POS.

Homebase — best for scheduling-heavy crews

Price: Free Basic scheduling for one location with up to 10 employees; payroll add-on $49/month + $6 per employee paid. Paid scheduling plans start at $30/location/month.

Homebase starts with the schedule: who’s working the Saturday festival, who’s on the morning commissary prep shift. The time clock app tracks hours on a phone or tablet, and payroll is built from those timesheets. It integrates with Square, Clover, Toast, Shopify POS and Lightspeed.

Why it fits food trucks:

  • Shift scheduling, shift swaps and team messaging in the same app
  • Time clock works on the tablet in your truck
  • Multi-state filings included in payroll
  • Plans priced per location, not per employee

Watch out for: Above 10 employees you need a paid scheduling plan, and running two trucks as separate “locations” can mean two subscriptions.

Gusto — best for Toast and Clover users

Price: Simple $49/month + $6/person; Plus $80/month + $12/person.

Gusto is the most polished all-around payroll platform on this list and connects with Toast, Clover, Square and Shopify POS. Its onboarding tools make it easy to send seasonal hires their paperwork before day one.

Why it fits food trucks:

  • Tip import from major POS systems
  • Self-onboarding for new hires (W-4, I-9, direct deposit)
  • Federal, state and local tax filing on every plan
  • Covers penalties caused by its own filing errors

Watch out for: Gusto Simple is single-state. If you regularly work events across state lines, you’ll need Plus, which nearly doubles the per-person cost.

OnPay — best for multi-state event circuits

Price: $49/month + $6 per worker, one plan.

OnPay includes payroll in as many states as you need at the base rate, plus local tax filing. If your truck runs a regional fair circuit, that flat pricing is hard to beat. It integrates with Toast and Square for hours and tips.

Why it fits food trucks:

  • No per-state fees
  • One plan with no feature tiers to outgrow
  • Free setup and data migration

Watch out for: HR features and time tracking are paid add-ons.

Patriot Software — cheapest full-service option

Price: Full Service $37/month + $5 per worker paid. Basic (you file taxes yourself) $17 + $4.

If you don’t need a POS integration and are happy entering hours yourself, Patriot is the lowest published full-service price. Year-end W-2 and 1099 filing is included at no extra cost.

Watch out for: No native POS integrations, so tips are entered manually. Extra states cost $12/month each.

Should food truck workers be W-2 employees or 1099 contractors?

Almost always W-2 employees. Cooks, cashiers and window staff work on your schedule, in your truck, using your equipment, selling your menu — the hallmarks of an employee under IRS and Department of Labor tests. Misclassifying them can trigger back taxes, penalties and wage claims. Contractor status makes more sense for genuinely independent work like a freelance graphic designer or an event-day bookkeeper.

FAQ

What is the best payroll app for a small food truck? If you use Square POS, Square Payroll is the simplest fit. If scheduling shifts is your biggest headache, Homebase combines scheduling, time clock and payroll. For the lowest price without POS integration, Patriot Software Full Service costs $37 + $5 per worker.

Do I have to report tips through payroll? Yes. Employees must report tips to you when they total $20 or more in a month, and you must withhold income tax and FICA on reported tips. Starting with 2026 W-2s, you also report total cash tips in Box 12 (code TP) and the employee’s tipped occupation code in Box 14b.

Do I need to run payroll in another state if I work an event there? Possibly. Many states require withholding on wages earned within their borders, though some have nonresident thresholds. Check each state’s rules or choose a provider that includes multi-state payroll so the filings are handled for you.

How often should a food truck run payroll? Weekly or biweekly is most common for hourly crews. All the providers in this guide include unlimited payroll runs, so pay frequency doesn’t change your software cost.
